How to export notes on Mac (PDF, Text & more)
If you need to export notes on Mac, don’t waste your time looking for a simple export all button, because there isn’t one. It can be done, but it’s not a simple one-click fix. I’ll cover what Apple Notes can export natively, what still needs a workaround, and which method makes sense depending on whether you want PDF, editable text, Markdown, or a backup.
Can you export Apple notes on Mac?
Yes, but with a catch. Apple Notes can export individual notes as PDF and, on the current Apple Notes, also as Markdown feature from the File menu. But there’s no clean native bulk export tool for your whole library in every format. That matters if you are moving hundreds of notes, switching apps, or creating a proper archive.
I think it is better to say that up front, because people waste time hunting for a button that simply is not there. For just a one-note export, Apple Notes is fine, but for a full migration, you need a workaround.
How to export a note as PDF
For a single note, then a PDF is the easiest option and probably the cleanest if I’m sharing or saving a static copy. Here’s how to do it:
-
Open up Notes on your MacBook.
-
Click the note you want to export.
-
Press File > Export as > PDF.
-
Rename it if needed, then save it in your chosen location.

One small limitation worth noting is that Notes with attachments can behave differently when exported, so it’s worth checking that it’s saved and looks how you expected it to.
How to export notes as text or Rich Text
If I need editable text, then I open the note, copy everything, and then paste it into TextEdit. From there, I can save as .txt for plain text or .rtf for rich text formatting. It is manual, yes, but it gives me control.
Some apps strip formatting from PDFs badly. Plain text avoids that. Rich text is better when I want headings, bold text, and links to survive.

There is also a newer native option: Export as Markdown from Apple Notes on Mac.

How to export multiple notes at once
Apple Notes does not offer a great one-click bulk export workflow, so for batches, I can select multiple notes and use the export as feature above, but this can get pretty clumsy, fast.

You might want to use third-party options like Exporter, which can handle bulk exports to Markdown and HTML. From my research online, this is what a lot of users who are doing a huge migration opt for, and I can understand why.

How to export notes to Word, Notion, or Obsidian
For Word, I usually copy from Notes and paste into Pages, Word, or TextEdit first, then clean up formatting there.

For Notion, plain text or Markdown tends to be easiest. Rich text can work, but pasted formatting sometimes gets messy. I keep things simple.
For Obsidian, Markdown is the obvious route. Since Apple Notes now exports Markdown natively on Mac, that part is much better than it used to be.
If I’m cleaning out years of notes before a move, I also check for duplicate exports and repeated note dumps. That is one place where the My Clutter feature from CleanMyMac comes in really handy. Not for exporting itself, but for spotting duplicate files and messy copies after the export process; here’s how:
-
Open CleanMyMac — get your free trial here (free for seven days).
-
Open and select My Clutter > Scan.
-
Once finished, browse through the locations and remove any buildup you just don’t need.
How to back up all Apple notes
If my goal is backup, not migration, I treat it differently.
First, I make sure Notes is syncing with iCloud in System Settings.

Second, I verify that I can access notes on icloud.com. iCloud’s Notes web app lets me view notes and download certain attachments, which is useful as a secondary check.
And for a passive backup, I still trust Time Machine. It is not an export tool, but it is excellent insurance.
That’s all on how to export notes on Mac.
Frequently asked questions
Is there a way to export all Apple notes at once?
Not natively in a smooth, universal way. For large libraries, third-party exporter tools are the more realistic option.
What formats can Apple Notes export to?
On current Mac versions, PDF and Markdown are supported natively. Plain text and rich text still need a copy-paste workflow.
Does exporting delete the original notes?
No. Exporting creates a separate file and leaves the original note in place.
